Five questions before buying any new tool

Buying the tool is the easy part. These five questions usually decide whether anyone is still using it in six months.

There are plenty of genuinely good tools out there. The problem is rarely quality — it is that the tool gets bought for a problem that has not been made clear yet.

1. Which decision will this change?

If the answer is "it gives us better visibility", you do not have an answer yet. The right question is: what can you not do today that you will be able to do with it?

2. Where does its data come from?

Most tools assume the data is clean and available. If entry is manual, within two months it fills with incomplete records and loses everyone’s trust.

3. What happens if it disappears tomorrow?

Anything that enters the main path of your work is a new dependency. You do not need to fear that, but you should know what the fallback is.

4. Who owns it?

A tool without a named owner becomes an abandoned layer within months. Owner means someone responsible for it working, staying current, and teaching others.

5. How will we know it worked?

Before buying, write down a number and a date. "Within three months, weekly reporting drops from six hours to under one." Without that, you will never be able to say whether it was worth it.
